The agreement between you and Rank & File Miniature Painting Studio. By requesting a quote, paying a deposit, or sending us models, you agree to it.
Last updated: September 18, 2026
These terms are the agreement between you and Rank & File Miniature Painting Studio ("Rank & File", "we", "us"), a sole proprietorship registered in Travis County, Texas and based in Austin, Texas. By requesting a quote, paying a deposit, or sending us models, you agree to them. Please read them; they are short and written to be understood.
We assemble, paint and base miniature models that you own or that we source for you, at one of the painting levels described on our Painting Levels page. We also offer model sourcing, assembly, and resin printing from files you supply. We do not sell or distribute copyrighted models or files, and we are not affiliated with, endorsed by, or connected to Games Workshop, Atomic Mass Games, or any other game publisher or model manufacturer. All trademarks belong to their owners.
Every order starts with a written quote. The quote lists the models, the painting level for each, any sourcing, assembly or printing, shipping, and the total price. Published price ranges on our website are guidance for standard 28mm infantry; your quote is the price for your order. A quote is valid for 14 days. Prices are in US dollars. Once you approve a quote and pay the deposit, the price is fixed unless you change the scope of the order.
A deposit of 50% of the quoted total is due to reserve your place in the queue. Work does not begin, and your place is not held, until the deposit is received. The balance is due when you approve the final photographs of your finished order, and before it ships back to you. Payments are processed through Stripe. We do not store your card details.
You ship your models to the intake address in North America that we provide with your quote, after the deposit is paid. We will give you packing instructions and, where relevant, customs instructions. Please pack models so they cannot move inside the box; we recommend the original boxes or foam. You are responsible for the models until they arrive at our intake address, so insure the shipment if its value matters to you.
On arrival we photograph and count every model and send you the inventory within 3 business days. That inventory is the record of what we received and its condition. If you disagree with it, tell us within 5 business days of receiving it.
If we source models for you, we buy them once your deposit is paid and they are non-refundable once purchased. If we assemble models, we follow the manufacturer's instructions unless you specify otherwise in writing; conversions and magnetisation are quoted separately.
If we print from your files, you confirm that you own the files or hold a licence that allows a third party to print them for your personal use, and that printing them does not infringe anyone's rights. We print only for you, keep no copies of your files after the order is complete, and will refuse files we believe infringe a manufacturer's intellectual property. You are responsible for the content of the files you send.
Before the order starts, you give us a colour scheme or reference. We paint one test model to that scheme, photograph it, and send it to you. Nothing else starts until you approve the test model in writing (email or message is fine). Changes to the scheme at this stage are free. Once you approve the test model, it becomes the standard for the whole order.
When the order is finished, we send you a set of photographs of every unit. You have 5 business days to review them. If something does not match the approved test model or the quoted painting level, tell us and we will fix it at no charge before shipping. Once you approve the photographs, or 5 business days pass without a response, the order is approved.
Requests to change the scheme, level, or basing after you approve the test model are new work and will be quoted. Requests that something be brought up to the approved standard are not new work and are always free.
The lead time on our website is the current wait before an order starts, and the date in your quote is our best estimate for completion. We work hard to hit it and we tell you promptly if it moves. Estimates are not guarantees, and a delay does not entitle you to a refund unless the delay exceeds 30 days beyond the quoted date and is not caused by a change you requested, in which case you may cancel under section 10.
We ship finished orders by an insured, tracked carrier to the address you provide. Shipping is charged at cost as shown on your quote. The models are packed in foam by unit with a printed inventory. Risk of loss passes to you on delivery. If a package arrives damaged, photograph the box and the contents before unpacking further and contact us within 3 days; we will file the insurance claim and repair or repaint damaged models at no charge to you.
You may cancel before the test model is approved for a full refund of the deposit, less the cost of any models we have already sourced for you and any printing already completed. After the test model is approved, work is under way and the deposit is non-refundable; if you cancel, we will invoice you for work completed to that point, credit the deposit against it, and return your models at your cost.
If we cannot complete your order for any reason, we will refund every payment you have made for work not completed and return your models at our cost.
If your balance remains unpaid, or we cannot reach you at the contact details you gave us, 60 days after we send the final photographs, we will send a final notice. If we hear nothing for a further 30 days, the models are considered abandoned and we may dispose of them or sell them to recover what is owed. We do not want this to happen and will make every effort to contact you first.
We take care of your models as if they were our own. If we lose or damage models while they are in our care, we will replace them with the same model at the same stage of completion, or refund their retail value and any painting paid for on them, at our choice. Our total liability for any order is limited to the total price of that order. We are not liable for indirect losses, such as missed tournaments or events, or for the sentimental value of models.
Nothing in these terms limits liability that cannot be limited by law.
We photograph every order as part of our process and we may use those photographs on our website, social media and marketing. We will not publish your name or address. If you would prefer your order not be shown publicly, tell us before it ships and we will not use it.
We collect only what we need to complete your order: your name, contact details, shipping address, and the details of the order. We do not sell or share it, and we do not add you to marketing lists without asking. Payments are processed by Stripe, which handles your card details under its own privacy policy.
We may update these terms from time to time. The version in force is the one on our website on the day you approve your quote, and it applies to that order.
These terms are governed by the laws of the State of Texas. If we have a disagreement, we both agree to try to sort it out directly first; contact us at . If that fails, either of us may bring a claim in the courts of Travis County, Texas, including small claims court.
